Our client, Eastern Michigan University, has an immediate opening in the Office of the President.


The Opportunity: Executive/Administrative Associate to the President


The Assistant to the President of Eastern Michigan University is a key role with administrative oversight and management for all operational activities, special projects and event planning in the Office of the President. The Executive Assistant to the President is responsible for providing comprehensive support to the President, and serving as a liaison to the Board of Regents and Executive Council.


Key Responsibilities:

Administrative Support to the President:

  • Managing the calendar of the President, to include: scheduling appointments, responding to inquiries regarding availability, to include exercising discretion on which appointments to accept, reject or adjust.
  • Manage the President's travel, domestic and international, including preparing detailed itineraries for travel details and destination meeting arrangements.
  • Receive, review, and refer/resolve, where possible, complaints addressed to the Office of the Presidents from employees, students, and external individuals.
  • Serve as a liaison to commissions that report to the President.
  • Support the President with donor relations, including direct contact with donors, scheduling appointments with donors, and following up on donor requests.
  • Prepare correspondence on behalf of the President and provide administrative support to the Executive Council and other senior level work groups.
  • Creating ad-hoc reports as requested, and creating graphs as necessary using a high degree of analytical ability.
  • Prepare Board of Regent meeting agendas, attend meetings, ensure prompt follow up, and interact directly with Regents on behalf of the President.
  • Collaborate with the Chief of Staff to the President to prepare materials and public comments for the President's meetings and public events.

Office/Administrative Operations and Reporting

  • Manage and facilitate the routine updating of the Office of the President website.
  • Oversee the budget of the Office of the President, including paying bills, reconciling accounts and negotiating payment rates with vendors when applicable.
  • Creating and maintaining filing systems, including creating/maintaining a spreadsheet of file dates and locations. Purging files as necessary on a regular basis.
  • Managing Emu House (the University's guest residence) facility operations, including supervising Facilities & Security, as needed, and managing the facility budget, as well as coordinating guests visits, including marketing use of the house, and reviewing and approving requests for use of the house.
  • Manage Concur (the University's expense management system) for the office, including preparing the President's Concur submissions and reviewing Concur reports from Vice Presidents requiring the President's approval.
  • Interview, hire and supervise student employees and front desk staff in the President's Office.

Special Projects

  • Provide leadership and coordination for special assignments, planning initiatives, and projects, including making recommendations regarding policy and personnel matters.
  • Conduct research and other special projects on behalf of the President and Chief of Staff to the President.
  • Oversee commencement activities related to the Office of the President, including coordinating logistics for the speakers and inviting platform participants.
  • Provide leadership and coordination for special events at University House (the President's residence), including reviewing requests for use of the House, managing RSVP lists, catering, assigning staff, decorating, etc.
  • Provide management support for executive-level searches, including working with the search consultants, scheduling meetings, managing technology, etc.
  • Provide leadership and coordination for special assignments, planning initiatives, administrative matters and projects for other divisions as assigned.

The Qualified Candidate

The President of EMU seeks a strategically focused partner who has proven experience providing administrative support to an executive team, with a focus on stakeholder satisfaction, and providing trusted, valued support. The successful candidate will have a minimum of 5-10 years of proven executive level administrative experience. Prior experience within a higher education experience is desirable, but not required. The selected candidate will be service oriented, collaborative, and a strategic thinker with impeccable credibility.

Specific requirements include:

  • Bachelor's degree from an accredited college or university with major course work in business administration or related field; Master's degree is preferred
  • A minimum of 5 to 10 years prior administrative experience
