The Program Coordinator at NEW serves in three main areas: coordination of programs and workshops; client outreach coordination and implementation; and administrative support to the NEW team. This position is key to NEW's success. The candidate who thrives in this position is very organized, pays attention to detail, has strong communication skills and is a self-starter. Reporting to the Organizational Development Director, the person in this role is able to respond and adapt to varying daily responsibilities that are both administrative and program focused.
Main Responsibilities:
Program Coordination
- Develop program schedules
- Develop & disseminate program communications and marketing materials
- Document program-related processes (SOPs)
- Assist with the development and improvement upon NEW programs
- Communicate with OD Director and session facilitators - including third-party contractors - concerning needs related to the program
- Communicate with program participants prior to and after sessions
- Coordinate and prepare food and materials necessary for program support
- Assist in facilitating NEW programs, creating an environment in which learning and growth can take place
Outreach Coordination & Implementation
- Conduct preliminary information gathering about clients prior to conducting outreach phone calls. This may include a review of survey responses, as well as a brief assessment of client data in customer relationship management database and shared drive.
- Follow up with clients who have participated in NEW's programs and services via scripted phone calls with the intention of both measuring impact and assessing opportunities for future business development.
- Complete summary write-ups of phone interviews with key issues or points highlighted for ease of reference.
Administrative
- Managing NEW's pipeline of business by replying appropriately to incoming inquiries.
- Generating reports related to the business pipeline.
- Tracking and recording inquiries and client engagements in NEW's CRM database, including maintaining accurate record of work timelines and projected revenue.
- Assist with administrative duties such as checking mail, ordering office supplies, communicating with vendors, etc.
- Serve as back-up to Building Coordinator.
- Support and assist NEW staff in preparation for client engagements, ordering supplies, document creation, entering data into the CRM, etc.
Key Competencies:
Work Experience & Competencies
- Prior work experience (1 year or more of the following)
- Involvement in an administrative support role
- Background of working closely with a team of 4-6 people
- Experience answering phones and connecting individuals to resources
- Knowledge of or experience working within the nonprofit sector
Technical Competencies
- Familiarity/proficiency using Google G-Suite Applications (Drive, Docs, Sheets, Forms)
- Proficient in Microsoft Word, Excel, PowerPoint and data entry
- Writing, telephone and further communication/customer service skills
- Critical listening, with the ability to evaluate what is being said
Behavioral Competencies
- Organized and detail oriented
- Ability to start, jump in to assist, and finish projects
- Adaptability
- A desire and commitment to ongoing learning
- Comfort with seeking out resources, assistance, etc.
Qualifications
- Though not required, a four-year degree within a field related to the nonprofit sector is desired. Individuals pursuing degrees or with comparable work experience may also be considered. Coursework or other forms of experience in the realms of project management, team communication, and marketing & outreach are highly preferred.
