Washtenaw Camp Placement is a non-profit organization whose mission is to connect economically disadvantaged youth to camp through community support. Washtenaw Camp Placement (WCP) believes that resident summer camp is a life changing experience that provides children an opportunity for growth in social, emotional, and physical well-being. WCP has been awarding camperships since 1962, with more than 10,000 camp scholarships (camperships) having been awarded to-date.

Washtenaw Camp Placement is excited to welcome a new member to their team, and is seeking to hire a part-time Program Coordinator.

Summary: Reporting to the Executive Director, the Program Coordinator will support the operations and outreach of the Washtenaw Camp Placement organization, including recruitment of camp applicants, outreach/education, administrative activities and support of tasks related to program execution, facilitating enrollment and camp placement for approved youth.

Key Responsibilities:

  • Promote the campership program face-to-face in the community and on multiple platforms such as social media and WCP's website.
  • Advocate for diversity, equity and inclusion throughout the program and the organization.
  • Develop and strengthen relationships with personnel of WCP's partner camps and collaborators.
  • Strengthen relationships with referral sources, i.e. county schools and youth-serving agencies.
  • Solicit campership applications from schools, agencies, and from the families of successful alumni campers and eligible siblings.
  • Manage all program related events, including Briarwood Expo and Camper Orientation.
  • Ensure that campers and their paperwork are ready for opportunities that arise.
  • Arrange for all camper departures and arrivals are attended, by staff or a volunteer.
  • Recruit, train and coordinate camp-related volunteers for program related activities, and to attend departures and returns of campers on buses summer weekends.
  • Conduct background checks on prospective volunteers.
  • Work with the Executive Director to set up each summer's program, i.e. develop the budget, ascertain number of campers at each camp, and set up schedule of camp attendance.
  • Set up all other schedules, including various mailings and multiple phone reminders to families.
  • Manage the campership application process, including updating forms and publishing same on paper, electronically and on the WCP website.
  • Solicit and inventory donated camper gear.
  • Review and update procedures regularly, including all forms.
  • Conduct program evaluation via analysis of feedback from each camper's camp counselor, parents/guardians, and the campers.
  • Prepare reports on camper attendance, weeks of camp, etc. for the Board, donors, and other stakeholders.
  • Maintain essential camper records five years as dictated by WCP's Document Retention Policy
  • Review all camp-related invoices.
  • Support budget, audit, and other duties as determined by the Executive Director.
  • Occasional weekend and/or evening work may be necessary during the camp season, mid-June to late August. Flexibility in hours possible the remainder of the year.

Qualifications:

  • An Associate's degree or equivalent work experience
  • 2+ years of relevant work experience, with a combination of administrative and outreach responsibilities
  • Desire to offer character building opportunities to youth who would not otherwise have them.
  • Committed to diversity, equity, and inclusion
  • A friendly persona and comfortable with clients of diverse backgrounds
  • Good judgment and diplomacy while maintaining integrity and upholding organizational ideals
  • Excellent communication skills face-to-face, written, phone.
  • Computer competency; graphic design a plus
  • Valid driver's license and reliable transportation

Work Environment & Physical Demands:

Work is primarily performed in a normal office environment with potential exposure to communicable diseases. Pushing a cart with supplies and/or lifting of up to 50 pounds may be required. The majority of time is spent standing and walking as well as lifting. Simultaneous use of both hands is required. Movements such as balancing, stooping, kneeling, crouching, crawling, twisting, and bending are sometimes required. Audio, visual and verbal functions are vital aspects of this position. Limited noise, room temperature fluctuation and dust are possible. Routine use of computer. Use of personal vehicle is required when traveling within the service area.
