Programs Associate - Nonprofit

The Programs Associate position is key to the success of NEW's Learning Communities. The candidate who thrives in this position has a heart for social justice, is very organized, pays attention to detail, has strong communication skills and is a self-starter. They are able to respond and adapt to varying daily responsibilities that are both administrative and programs focused.

Working alongside the Programs Director, the Programs Associate at NEW serves in three main areas: (1) coordination of programs and workshops, (2) client outreach coordination and implementation, and (3) administrative support. The Programs Associate will also have an opportunity to inform the design and delivery of NEW's leadership development programs, and will work with other members of the team as well as external partners.

This position will support NEW in the following ways:

Programs Thought-Partnership (~15%)

  • Use NEW's mission, vision, and values as well as the organization's strategic plan, and rapidly evolving backdrop of current events to provide thought-partnership for NEW's Learning Communities and leadership development programs.
  • Adapt programs to respond to shifting community needs through soliciting and analyzing feedback from participants, partners, and other stakeholders.
  • Communicate with Programs Director, CEO, and session facilitators concerning needs related to the programs.
  • Document the programs' progress in terms of scope, schedule, deliverables, and outcomes.

Programs Coordination/Implementation (~70%;)

  • Develop and utilize a schedule to manage communication and program delivery
  • Coordinate and/or lead planning conversations prior to each session including:
    • Identify and communicate with subject-matter experts
    • Support lead facilitators with the development of session objectives, materials, and understanding of NEW's role in the session
    • Create session agendas and materials.
    • Convene facilitators and partners as needed
  • Assist in facilitating sessions, and creating a warm and welcoming environment for participants in which learning and growth can take place and session objectives can be achieved.
  • Serve as an ambassador for NEW and as a point of contact for participants and partners.
  • Provide necessary logistical support to help each session run smoothly, including the following:
    • Identifying and using appropriate technology software to support programs (Ex: Eventbrite, Zoom, Google Meets, SurveyMonkey)
    • Processing invoices from external facilitators
    • When in person:
      • Staging physical space including food, materials, etc. set-up
      • Purchasing and transporting refreshments and supplies
  • Coordinate and co-lead debrief conversations following each session

Marketing/Recruitment (~10%)

  • Work with NEW's Relationship Manager to develop and disseminate virtual and physical program-related marketing/communications materials.
  • Lead efforts toward recruitment for each Learning Community and leadership development program.
  • Keep NEW team abreast of programmatic updates.

Budgetary Responsibilities (~5%)

  • Monitor and update budgets and complete expense reports for each program in concert with the Programs Director and NEW's financial team
    • Weigh any proposed adaptations to programs against existing budgets
    • Stay abreast of funding updates, as communicated by NEW's Relationship Manager, and update program budgets accordingly
    • Monitor and offer suggestions for allocations and reallocations of program funding (over/under)

Due to COVID precautions the role is virtual and in the future will likely be a hybrid virtual/in-person position. Team members can expect 40-45 hours/week including some non-traditional hours and some weekends.

  • Critical listening skills with the ability to evaluate and synthesize information

Desired Experience and Education

  • Coursework or other forms of experience in the realms of project management, team communication, and marketing & outreach are highly preferred.
  • Prior Work Experience (1 year or more of the following)
    • Involvement in an administrative support role
    • Knowledge of or experience in working within the nonprofit sector
